You create an account in a few clicks, the webpage has videos showing all the features for you to familiarize with the features even before you’re in, and in general I found it very user friendly. The first thing it advertises is their AI agents and the capability it offers to streamline your workflow as a freelancer with the power of AI.

It’s clear that Taskade prioritizes ease of use, and I found myself navigating the workspace with surprising ease. As soon as you´re in, they immerse you in the AI features Taskade offers. 

Creating my first project was a breeze. Taskade provides a variety of templates to choose from, or you can start from scratch. I particularly liked how intuitive it was to add tasks, set due dates, and organize my work. 

Compared to other management apps I’ve tried, Taskade’s interface feels more modern and less intimidating, while still very comprehensive, suited for professional work. It strikes a good balance between simplicity and functionality. For example, Taskade has a feature that allows you many different views of your projects, like lists, tables or one that I found particularly helpful, org charts:

The Learning Curve: Getting comfortable with Taskade’s features

There was still a bit of a learning curve as I explored the more advanced features of Taskade. It took me a little while to get comfortable with concepts like AI credits per month and how to best utilize them. However, I found that Taskade provides helpful tooltips and guides that made the learning process smoother.

As a freelancer, I haven’t had many opportunities to work with large teams, but I’ve explored Taskade’s team collaboration features and can see their potential for remote teams and small businesses. Here’s what I’ve discovered about Taskade’s collaboration capabilities:

• Setting up a shared workspace is straightforward. Taskade makes it easy to invite team members and organize projects in a way that everyone can access and understand.

• Real-time collaboration seems to be a real pro. This feature allows working on the same document at the same time, so it could be a game-changer for remote teams working on collaborative projects.
• Its communication features are well-integrated into the platform. The chat function allows for quick team discussions, while comments on specific tasks enable detailed conversations about particular items. The @mention feature is particularly useful for drawing attention to important messages or tasks.

While my experience with team collaboration in Taskade has been limited due to my freelance work, I can see how these features would be invaluable for remote teams managing multiple projects. The platform seems designed to keep everyone on the same page, regardless of their physical location.

Now, it is important to note that the better collaboration features are included in the most expensive plan. I still think it can be worth the investment for teams and businesses in need for an organization tool, but it is definitively steeper to have full access to collaboration.

• Free Plan: Perfect for individuals or small teams just starting out
• Taskade Pro: $10 per month per user, ideal for freelancers and small businesses
• Taskade for Teams: $20 per month per user, designed for larger teams and organizations

Taskade also offers a chance to save some money: if you choose to pay yearly, you’ll save $2 per month in the free plan, and $4 per month in the plan for teams!

Free Plan vs. Paid Options: Do I Recommend Taskade?

The free plan is surprisingly robust, offering core features like task management, upload documents, but limited and basic AI capabilities. It’s the way to test the waters and see if Taskade fits your workflow. However, I found that as my projects grew more complex, the free plan is not enough.

Upgrading to Taskade Pro unlocked unlimited AI credits and advanced features, which significantly boosted my productivity. The team plan, while pricier, offers even more AI capabilities and collaborative tools that could be game-changing for larger teams.

I personally stick with the Pro plan, as I think it has everything a freelancer like me needs to streamline workflow, and it offers me sufficient AI solutions to the challenges I face usually in my workday. 

AI Features of Taskade: The Real Game Changer

Taskade’s AI credits system is both a strength and a potential limitation. The free plan offers just 5 AI requests per day. In my experience, this is incredibly limiting. I found myself burning through these requests within minutes of exploring the AI workflow generator and writing assistance features. It’s barely enough to get a taste of what the AI can do, let alone integrate it into your daily workflow.

The paid plans, on the other hand, offer Unlimited AI usage. This is a game-changer. In my daily use, I’ve found this unlimited usage to be invaluable for task generation, content creation, and project planning. I no longer have to ration my AI interactions, which has significantly boosted my productivity.

In my opinion, if you’re serious about leveraging this AI tool to boost your productivity, the free plan isn’t really worth it in the long run. You’ll constantly bump up against the 5-request limit, which can be frustrating when you’re in the flow of work. The paid plans, while an investment, offer much more freedom to explore and utilize Taskade’s AI capabilities to their fullest potential.

In my experience testing to find the best project management tools, I’ve found that each has its strengths. Here’s how Taskade compares to three popular alternatives:

Asana

• Features: Asana offers more robust project management tools than Taskade, with advanced features like custom fields and workload management. However, it lacks the AI capabilities that I’ve found so useful in Taskade. Asana’s interface is more complex, which can be a pro or con depending on your needs.
• Best for: In my opinion, Asana is better suited for larger teams working on complex, multi-faceted projects, or project managers who need detailed tracking and reporting capabilities. Taskade, on the other hand, might be a better fit for those who prioritize AI assistance and a simpler interface.

Notion

• Price: $11.5/user/month (Plus plan, comparable to Taskade’s Pro Plan)
• Features: Notion is incredibly flexible, almost like a blank canvas. It’s great for documentation and knowledge management, something I’ve found Taskade doesn’t focus on as much. However, Notion’s task management isn’t as structured as Taskade’s, and it doesn’t have the same level of AI integration.
• Best for: From my experience, Notion shines for teams that need a central knowledge hub alongside project tracking. Taskade might be preferable for those who want a more straightforward task management system with AI assistance.

ClickUp

• Price: $7/user/month (Unlimited plan, comparable to Taskade’s Pro Plan)
• Features: ClickUp offers a wide array of features, including some AI capabilities like Taskade, but I’ve found it can be overwhelming compared to Taskade’s more streamlined approach.
• Best for: In my view, ClickUp is great for teams that need a highly customizable tool and don’t mind a steeper learning curve. It’s suited for power users who want to fine-tune every aspect of their project management. Taskade, by contrast, might be better for those who prefer a more out-of-the-box solution with strong AI features.

Ultimately, the best project management software for you depends on your specific needs. If AI-powered productivity is a priority and you prefer a clean, intuitive interface, Taskade could be a great fit. But if you need more advanced project management with a wide range of features or extensive customization, one of the alternatives might serve you better. It’s all about finding the tool that aligns with your workflow and priorities.

What I Like About it: Taskade Pros

After using Taskade for some time, I’ve discovered several features that really stand out. Here’s what I like most about this tool:

• Intuitive interface and smooth learning curve: Taskade is incredibly user-friendly. From day one, I found myself navigating the platform with ease. Even as I delved into more advanced features, the learning curve remained gentle. This intuitive design is a huge plus, especially for teams with varying levels of tech-savviness.
• Versatility: From simple to-do lists to complex project management. With Taskade, I don’t need multiple tools for different types of work. On busy days, I use it for quick to-do lists to keep track of urgent tasks. But when I’m managing larger projects, Taskade allows you to handle complex workflows with its robust features.  
• Taskade integrations and AI features actually enhance productivity: Taskade’s AI features aren’t just a gimmick – they’ve genuinely boosted my productivity. The AI writing assistant has helped me get my creativity going, and the task generation feature often catches things I might have overlooked.

• Collaborative features that streamline teamwork: While I primarily work solo, I’ve had opportunities to collaborate with others on Taskade, and I’m impressed by how smooth the process is. Real-time editing, comments, and chat features make it easy to work together.
• Mobile App: Taskade offers an app that you can download on Android and iOS to take this task management software anywhere with you, a feature that is much appreciated for a freelance worker like me who isn’t in the same place a lot of time.

What I Don’t Like About it: Taskade Cons

Now, after testing Taskade, I want to to give you the full picture, so let me share with you all the things where I think Taskade falls a little short, so that you have all the information you need to decide if it is right for you or your team. 

• Limited AI capabilities in the free plan: I found the 5 AI requests per day on the free plan extremely restrictive. It’s barely enough to get a taste of the AI features, and I often hit this limit within minutes of starting work. For solo users who rely heavily on AI assistance, this limitation can be a significant drawback, as you will need to have some budget to really take advantage of the platform.
• Lack of advanced time tracking: While Taskade offers basic task timing, it doesn’t provide comprehensive time tracking features. As a freelancer who needs to bill clients accurately, I miss having built-in time tracking with detailed reports. I sometimes have to use a separate tool for time management, which isn’t ideal for streamlining my workflow.
• Limited offline functionality: As someone who often works on-the-go or in areas with spotty internet, this can be frustrating. Taskade lacks the ability to access or update my tasks offline, which has occasionally disrupted my productivity.
• Overwhelming template options: While the variety of templates is generally a pro, as a solo user, I sometimes find the sheer number of options overwhelming. It can be time-consuming to sift through all the templates to find the right one for my needs.

Taskade offers a set of integrations that help streamline workflow. For example, the platform connects with essential services like Gmail, Outlook, and Google Drive, allowing me to manage emails and files directly within the platform. Calendar integrations with Apple, Google, and Outlook have been particularly handy for keeping my tasks and schedule in sync.

The standout integration for me has been Zapier. With Zapier, I’ve created custom workflows that connect Taskade to my other daily tools. For example: 

• Automatically creating Taskade tasks from starred emails
• Syncing completed tasks with my time-tracking app
• Sending Taskade project updates to my team’s Slack channel

The impact of Taskade’s integrations on my overall productivity has been significant. By reducing the need to switch between apps and manually transfer information, I’ve been able to focus more on my actual work rather than managing my task list. 

While Taskade’s integration options cover the basics well, I have a wishlist for future additions that would really boost my freelance workflow:

Toggl: As a freelancer, accurate time tracking is crucial for billing clients and managing my productivity. I’d love to see Taskade integrate directly with Toggl. This would allow me to start and stop timers right from my task list, automatically associating time entries with specific projects or clients. It would save me the hassle of switching between apps and ensure I’m capturing all billable hours accurately.

QuickBooks: Managing finances is a big part of freelancing, and QuickBooks is my go-to tool for this. An integration between Taskade and QuickBooks would be a game-changer for my invoicing process. I could potentially turn completed tasks into invoice line items, or automatically track billable hours from Taskade projects.

I’ve shared my experience, but it is also important to see other user reviews about Taskade. Many Trustpilot users praise it for its intuitive interface and versatile project management capabilities, giving it a 4.7 out of 5 ranking – pretty impressive!

One reviewer mentioned, “It’s an amazing productivity tool already, combining notes with the power of AI, but the team continuously build new features…” This aligns with my experience – I’ve found Taskade to be user-friendly and adaptable to various work styles.

However, some users have expressed concerns about the limited AI credits in the free plan, which echoes my own frustrations. For freelancers like myself, I recommend giving Taskade a try, especially if you’re interested in AI-powered productivity tools. Start with the free plan to get a feel for the platform, but be prepared to upgrade if you find the AI limitations restrictive.
